Policies & Information

AVAILABILITY

Limited availability between August and May. Event booking for October to April opens after the winter sports schedule is released.

CANCELLATION

If an event is cancelled, the following fees will apply and must be paid at the time of cancellation:

  • Date of Agreement to 91 days prior – 25% of the total rental fee
  • From 61 days to 90 days prior – 50% of the total rental fee
  • From 31 days to 60 days prior – 75% of the total rental fee
  • From 0 days to 30 days prior – 100% of the total rental fee

CATERING

Aramark at The University of Iowa is our exclusive catering provider for Carver-Hawkeye Arena. Contact details will be provided during the rental process.

EVENT FURNISHINGS

Each venue space is equipped with tables and chairs. If your event requires tables and chairs beyond what is available in our event space inventory, or if specialty items are needed, these will need to be rented at an additional cost.

INSURANCE

All University organizations are covered under the University’s policy. All public and non-profit organizations are required to have liability insurance for their events. Insurance is necessary in the event of property damage to our facility or if someone is injured and brings a claim against the contract holder and/or the University.

If the client does not already have a liability insurance policy, one can be purchased online through Philadelphia Insurance Companies, or through another provider of their choice.

OPTIONAL ADD-ONS

PARKING

Parking is available Monday through Friday in Lot 43 (Kinnick Lot) starting at 4:30 PM and all day on weekends. Parking is available on weekdays at an hourly rate at Parking Ramp 3, located behind the north side of Kinnick Stadium. Guests who park in Lot 43 before 4:30 PM on weekdays are subject to non-refundable fees.

PAYMENT

A deposit is due once the contract is signed by all parties. The deposit is 25% of the total rental fee. Final payment is required 14 days before the event date.

PROHIBITED ITEMS

The following items are not allowed in any Hawkeye Event Spaces:

  • All forms of paint
  • Confetti/glitter
  • Fog/smoke machines
  • Open flames
  • Pets, with the exception of service animals (please notify us prior to the event)

SECURITY

Each individual event may require security personnel in addition to the rental pricing. Once we have reviewed the specific event in detail, a decision will be made on whether security is required. If required, this will be an additional cost not included in the rental price.

AVAILABILITY

Not available for event bookings or photo opportunities Friday-Sunday on home football game weekends. Event booking for August to December opens after the football schedule is released.

  • Videoboard / HawkVision: To request use of the videoboard or HawkVision during an event for displaying logos, graphics, or slideshows, please complete this form.

On-campus alcoholic beverage service is limited to designated facilities including Carver-Hawkeye Arena, Kinnick Stadium, and additional campus locations may be used for single events with the approval of the Vice President of Student Life or designee in accordance with the University’s policy.

Parking instructions will be provided at the time of booking. Guests who park in areas marked “Permit Parking Only” or “2-Hour Parking for Park Use Only” without a valid parking pass and prior approval may be subject to non-refundable fees.

AVAILABILITY

Photo sessions are not available Friday–Sunday on home football game weekends. Rental requests for August–December open once the football schedule is released.

The press box, north end zone, and both the home and visiting team locker rooms are not available for photo sessions.

CANCELLATION & REFUND POLICY

  • More than 48 hours’ notice: Full refund
  • 24–48 hours’ notice: 50% refund
  • Less than 24 hours’ notice: No refund (100% of session fee retained)

If the venue cancels due to weather or unforeseen circumstances, sessions may be rescheduled or refunded at the discretion of event staff.

OPTIONAL ADD-ONS

  • Facility Tour with Event: Please contact us for pricing and options.
  • Home Team Tunnel: Access to the home team tunnel is available for an additional $100 per hour (flat rate, not per person).
  • Stadium Lights: Access to the stadium lights is available for evening sessions at an additional $150 per hour (flat rate, not per person).
  • Videoboard: To request use of the videoboard during a photo opportunity, please complete this form.

PAYMENT

Payment is due no later than three business days before the scheduled session. Cash payments are not accepted. All individuals in attendance will be charged, including those not actively participating in photos.

PHOTOGRAPHER POLICY

Professional photographers are not included in the total guest count. A professional photographer is defined as:

  • Someone hired specifically for photography services
  • Uses professional-grade equipment

One of the following must be submitted to verify professional photographer status:

  • A link to the photographer’s official website
  • A professional social media page (Instagram, Facebook, LinkedIn, etc.)

Photos taken by family or friends using personal cameras or phones do count toward the guest total.
